Abstract

Software project communication records are important for understanding how team coordination affects defect resolution time in software development projects. In enterprise environments, defects may remain unresolved for longer periods when communication between testers, developers, analysts, managers, and business users is incomplete, delayed, or unclear. This article discusses how communication records such as defect comments, email trails, meeting notes, status updates, clarification logs, and escalation records can be analyzed to understand delays in defect correction. It explains the role of issue ownership, response time, requirement clarification, technical discussion, approval dependency, and retesting feedback in improving defect resolution efficiency. The article also highlights common challenges such as missing communication history, unclear responsibility, delayed stakeholder response, repeated clarification cycles, and poor documentation of decisions. A structured communication-record analysis approach is presented to identify bottlenecks, improve coordination, reduce defect aging, and strengthen project monitoring. The study concludes that effective use of communication records improves defect resolution time, supports accountability, and enhances software quality control in enterprise projects.
